ePoster preparation and presentation guidelines

E-POSTER PRESENTATION 
All e-poster presenter will have 5 minutes time available for the presentation of their e-poster. The technical equipment in the e-poster session rooms consist of one LCD screen where the e-poster is visualised and one Ipad on a stand that the presenter can use to see the poster without having to turn the back to the audience. In most sessions there will also be a couple of minutes time for possible Q&A.

Please use the PowerPoint template provided to prepare your e-Poster. The template is available for download at the end of this page.


WE WILL HELP YOU TO CHECK THE E-POSTER
We will make a final check of all e-posters to ensurethat the poster meets with the technical aspects and that all information is legible for viewing on the LCD screen. We will contact with you in case the programmer has any doubt or suggestions to make about the format.

UPLOAD DEADLINE
The deadline to upload your e-poster in PDF format is 27 April 2018


E-POSTER EXHIBITION/SESSIONS
E-posters will be available for viewing both days of the congress (11 and 12 May).
The e-posters are divided into sessions according to the topic the abstract was submitted to.
There are four (4) rooms where E-poster sessions will take place. The session times are indicated in the scientific programme.
Your e-poster will be available for viewing both days on the LCD monitor in the room where your E-poster session takes place.
Most of the e-posters are presented in English, there are however a few e-posters presented in French.
The French presentations or Sessions in French are identified with (FR) in the programme.


PREPARATION GUIDE
Technical specifications:

  • Windows XP/Vista/7/8
  • Mac OS X
  • PowerPoint 2007/2010/2013

E-Poster Format:  Wide screen: 16:9
 

WHICH PROGRAMME SHOULD I USE
Most people use PowerPoint. However, if you have knowledge with other programmes as Microsoft Word, Publisher or Adobe Illustrator you can use those. Nevertheless, please note that in the end you will always have to convert your e-poster in a PDF before submitting it to the platform.

1 – How to prepare an e-Poster in PowerPoint 2007 or 2010

1.1 – Open a new slide and click on the “Design” tab and select “Slide size”

1.2 – Select presentation size/format wide screen (16:9) in the drop down menu.

1.3 – Select slide format portrait/vertical.

1.4 – Click OK to confirm the choice of format.

1.5 – Open the menu tab “Slide show” and click on the tab “Resolution”.

1.6 – Select one of the following resolution/quality options from the drop down list: 1280X720, 1280X768, 1280X800 (the choices available depend on the resolution compatible with your computer).

1.7 – Once concluded and confirmed the configuration steps above you are able to start inserting the content of your poster. Please make sure to save all your changes.

1.8 – IMPORTANT: Once you have concluded the preparation of your poster and is ready to submit your work please make sure that you save the slide in PDF format. Then PDF format is compulsory in order to enable the zoom feature to work during your presentation.

1.9 – NOTE: There is no predefined letter size for the ePoster preparation. As the solution offers the possibility to zoom in certain areas and text of the ePoster it is possible to use a smaller letter size.

2 – How to prepare a Digital Poster in PowerPoint 2011 in MAC OSX / PowerPoint 2013 for Windows

2.1 – Open a new slide and click on the “Design” tab and select “Slide size”

2.2 – Select presentation size/format wide screen (16:9) in the drop down menu.

2.3 – Once concluded and confirmed the steps above you are able to start inserting the content of your poster. Please make sure to save all your changes.

2.4 – IMPORTANT: Once you have concluded the preparation of your poster and is ready to submit your work please make sure that you save the slide in PDF format. Then PDF format is compulsory in order to enable the zoom feature to work during your presentation.

2.5 – NOTE: There is no predefined letter size for the ePoster preparation. As the solution offers the possibility to zoom in certain areas and text of the ePoster it is possible to use a smaller letter size.
 

DIMENSIONS
The presentation format must be in portrait (vertical)

in any of the programmes used, please use the 16:9 format.

Width: 14,29                    Height: 25,4
Width: 1080 pixels           Height: 1920 pixels


FONT
When you choose the fonts for the e-poster, please make sure that they are easy to read. We suggest the “Calibri” font and a size not inferior to 8. Italic and Bold can of course be used to high light and enhance text and titles.


IMAGES
When you select to insert images, try to select images with good resolution, ideally with 300 dpi. When selecting images, please make sure to see the difference between the size and the dimension.
Images with insufficient resolution should always be presented in a smaller size.


CAPTIONS
Verify the font size that you use for captions of tables or images. Font size should not be smaller than 6.

You should follow the rules created concerning the following :
Objectives, Methods, Results and Conclusions / take home message


BIBLIOGRAPHY
Font size should not be smaller than 6.


HOW TO CONVERT YOUR E-POSTER TO A PDF
To convert your e-posterto a PDF using PowerPoint (version 2010):

1. Select option “File.”
2. Click “Save as" or "Save as Adobe PDF”
3. In the box “File Name” insert the abstract ID and the full title identic to the title of your abstract.
4. In the box “Save file as”, select “PDF.”
5. Click “Save”.

Please make sure that you open the PDF to check that the document was correctly converted and does not present any error message.


IMPORTANT:NAMING YOUR E-POSTER
It is compulsory to identify (name) your e-poster pdf with the following way;
Abstract ID: that is the four (4) digit ID number that you received with the notification email
Abstract title: your e-poster must have the same title as the abstract you submitted.


SUBMIT YOUR E-POSTER (deadline 27 April 2018)
After converting your e-posterinto a PDF file please submit it via the link indicated below.
Fill in the requested data and upload your e-poster. When the upload is successfully concluded you will receive an automatic confirmation e-mail.  (Please make sure to check your SPAM box should you not see this email in your Inbox)
